What we collect and why
Contact and account data: your name, email address, login identifiers, language, time zone and the information you provide when you create and use an account.
Booking and service data: selected teacher, scheduled lesson times, lesson/package purchase, payment status and reference, cancellation/support messages, and lesson notes needed to deliver and support the service.
Website and device data: standard security and server logs, IP address, browser/device information, pages viewed and cookie choices.
Website help assistant (optional): if you open the public Help control and type a question, that question text is sent to our AI provider (Google Gemini) only to match an approved school FAQ answer. We do not store a chat transcript of that exchange.
Optional recording data: only where you give separate recording consent, a Zoom cloud recording and an encrypted operator-only transcript/AI lesson analysis. Declining recording does not prevent booking or receiving a normal live lesson.
Lawful bases, providers and transfers
We process account, booking and service data because it is necessary to provide our contract with you; payment/accounting data to meet legal obligations; security and service administration for our legitimate interests; and optional recording and non-essential cookies only with your consent. You may withdraw consent at any time without affecting earlier lawful processing.
We use service providers to operate the school: Supabase (application database/authentication), Resend (service email), Zoom (live video and optional cloud recordings), Deepgram (optional transcription), Gemini / Google (optional lesson-analysis assistance for operators, and—when the Help control is enabled—ephemeral public FAQ matching for website visitors), our payment provider, and hosting providers. Meta tracking is used only if enabled after your optional cookie consent.
Some providers may process data outside the UK/EEA. Where a transfer requires safeguards, we rely on the provider’s applicable lawful transfer mechanism, such as adequacy regulations or contractual safeguards. Ask us for more information at hello@kickstart-english.co.uk.
Retention, recordings and your rights
Raw Zoom recordings and any KSE-held raw audio/video copy are deleted no later than 14 days after the lesson. Encrypted transcript and AI-analysis evidence is operator-only and deleted no later than 30 days after capture. Valid erasure requests are actioned earlier unless we must retain limited information by law.
Public FAQ help questions are processed ephemerally for answer matching and are not kept as a support chat history. We may keep short aggregate technical metrics (for example result type and language) for up to 30 days to operate rate limits and reliability. Translations of this notice are for convenience; the English version governs.
Booking and payment/accounting records are retained for the applicable accounting and legal retention period. Other account and support information is retained only for as long as necessary to provide the service, resolve disputes and meet legal obligations.
